ADVICE FOR CORPORATE & SOCIETY ORGANISERS

The Club welcomes all societies whether established or visiting the Club for the first time. We want you to enjoy your day and to return again to experience afresh the pleasure of playing our delightful parkland course. The following advice may benefit both established organisers and those new to golf organisation.

Initial Planning and Contact with the Secretary's Office

  • Your member's loyalty can be encouraged if an annual membership fee is charged by larger societies with an extensive programme which can cover the cost of administration, prizes and (especially) deposits.
  • Society players at Gerrards Cross should not normally number less than 12 in total. We readily welcome your non-playing guests and will provide catering accordingly.
  • The Club can be accessed easily from nearby motorways and from the train station at Gerrards Cross, where there is a taxi service.
  • After reviewing the Club's web site, www.gxgolf.co.uk the preferred method of communication between Organiser and Club is by telephone, as by this method various enquiries and provisional bookings can be settled instantly.
  • Agree a date and make a provisional booking. The earlier you book the more likely you will be able to obtain your first choice date.
  • Remember your booking will remain provisional until you send your deposit. Until then other societies will be given priority if they provide the Club with their deposits before you. In the event of a complete cancellation deposits cannot be returned.
  • Do not be tempted to overstate the numbers you expect to play in your event. If your eventual society numbers are well down on estimate, it will be necessary for the Club to charge for catering raw materials in respect of absentees.

It is normal practice for the Club to occasionally host two smaller societies on the same day. 

  • If nearest the pin or longest drive equipment is required or you wish to place flags or banners at the Club, this should be notified to the Club secretary at the outset.
  • All visitors should possess a handicap certificate, 28 for men and 36 for women or less, but if for any reason a player can not produce one, he/she may be permitted to play if you first discuss this with the Club secretary. In the interests of avoiding slow play you should plan to put out lower handicap players first if possible. You are ultimately responsible for ensuring all your players can play to a proficient standard.

Nearer the Date of your Event

  • We strongly recommend that you receive payment from your members up front for each society meeting. This encourages commitment and eases your responsibility of informing the club of final numbers 48 hours before your day.
  • The Club will have earlier provided you with an information pack, from which you will have been able to finalise the format of your day with the Club Secretary's office.  You should make yourself familiar with all the information provided by the Club and disseminate all appropriate details to players before the day. Please pay special attention to our dress guidelines on the course and in the clubhouse.
  • If you wish to mark up scorecards before the day, cards can be sent to you in advance.
  • You should ensure very clear directions are given to your members on how to reach the Club.

On the Day

  • The Club will provide a host who will familiarise you with clubhouse layout, the starting tees, the day's Club security code and ensure that any refreshments ordered are available.  The host will provide nearest the pin and longest drive equipment if ordered and you will be responsible for its safe return to a member of the bar staff.
  • It can be useful to put the Club's security code on each score card on the actual day.
  • All visitors should allow sufficient time to arrive at the Club in order not to miss their allotted tee off time.
  • The pro shop will be open for the hire of trolleys and any last minute purchases. Buggies are not available.The Club recommends the 3 ball stableford format for society golf with 7 minute intervals between groups of players. This permits prizes to be awarded for individual and team golf and also helps to ensure an acceptable speed of play. 
  • Four ball groups may be  permitted  for  societies playing in the afternoon, please consult the GXGC office.

  • Various notices may be observed around the course and all visitors are requested to adhere to them, eg trolley routes and the repair of pitch marks on greens.
  • All visitors should be conversant with golf course etiquette.
  • Gerrards Cross has a "no smoking" policy operational within the clubhouse.
  • You should place security high on your agenda by reminding your members not to leave golf equipment or other items unattended as the Club cannot be responsible for any loss whatsoever.
  • Towels will be provided in the locker room.
  • Golfers who attend lunch in the dining room may do so without having to change their clothes in which they have just played golf, providing the clothes are not wet or muddy. This will help to ensure afternoon rounds, if being played, are started on time. Jacket and tie are required in the dining room for dinner.
  • All payments due to the Club are to be paid before the society leaves. This may take the form of two separate cheques, one for golf and one for catering with your deposit being deducted from the final invoice.
